From request to certificate: discover how an EPC inspection at EPC Expert works in 4 simple steps.
Step 1
Request
Via the form, by email or phone. We quickly schedule an appointment.
It all starts with your request. You can reach us via the online quote form, by email at [email protected] or by phone at 0475 65 10 05. We respond on average within 4 hours — often even faster. During this initial contact, we discuss the property type (apartment, house, commercial property), the estimated surface area and the reason for the inspection (sale, rental or renovation). Based on this, we immediately provide you with a clear price indication. In our experience, clients appreciate this transparency: you know in advance exactly what it costs, with no hidden fees. We then schedule an appointment at a time that suits you — during the day, in the evening or at the weekend. On average, we can visit within 3 to 5 working days.
Step 2
Measure
Our certified energy expert comes on-site. Duration: 1 to 2 hours.
On the agreed day, our VEKA-certified energy expert (type A) visits your property. During our inspections, we work according to the official inspection protocol IP2025, which has been in effect since July 2025. Specifically, we measure and check:
- All rooms and their dimensions — floor area, ceiling heights, window and door openings
- Walls, roof and floor — thickness, material and insulation value (U-value)
- Windows and glazing — glass type (single, double, HR++, triple), frame material, airtightness
- Heating system — boiler type, brand, year of manufacture, efficiency, controls (thermostat, thermostatic valves)
- Hot water — production method, storage volume, distribution losses
- Ventilation — ventilation system type (A, B, C or D), grilles and ducts
- Renewable energy — solar panels (Wp), solar boiler, heat pump
- Photo documentation — since IP2025, photographic evidence is mandatory for all insulation and installation measures
Step 3
Calculate
We process everything via the official VEKA certification software.
After the inspection, we process all data in the official VEKA certification software. This is the only software with which legally valid EPC certificates can be issued in Flanders. Our energy expert accurately enters all measurements, material types and installation characteristics. The software then calculates the primary energy consumption per square metre per year (kWh/m2/year) and assigns an energy label from A+ (very energy efficient) to F (energy guzzler). During our inspections, we double-check every data point to prevent errors. Accurate input is crucial: an error in the insulation value or boiler type can make the difference between label C and label D. We therefore take extra care with this step. Additionally, the software generates personalised recommendations with indicative cost estimates for energy-saving measures, so you know exactly which renovations offer the best return on investment.
Step 4
Certificate
You receive your valid EPC certificate. Your property is ready for sale or rental.
Once the calculation is complete, the EPC certificate is submitted to the Energy Performance Database of the Flemish government. You receive the official certificate typically within 24 to 48 hours after the inspection — by email in PDF format. The certificate contains:
- Your energy label (A+ to F) and the characteristic score in kWh/m2/year
- A comparison with similar properties in Flanders
- Personalised recommendations with cost estimates per measure
- Your position relative to the 2050 renovation obligation
How long does the full process take?
On average, you receive your EPC certificate within 1 week of your request. The inspection itself takes 1 to 2 hours depending on the size and complexity of the building. After the inspection, we process the data in the official VEKA software and you typically receive the certificate within 48 hours.
What documents should you prepare?
Good preparation makes the difference between an average and optimal EPC score. Prepare insulation invoices, technical data sheets, building plans, boiler details, solar panel certificates and the EPB declaration if applicable. Photo documentation (IP2025)
Since July 2025, the new inspection protocol IP2025 is in effect. This requires mandatory photo documentation of all relevant building elements during the inspection. EPC Expert follows this protocol strictly — all photos are taken professionally and linked to your file. This increases the transparency and reliability of your EPC certificate.
